There are three different questions to ask
- Can I book? Ask the clinic whether you can book an initial assessment directly.
- Will my plan pay? Ask the insurer whether a referral or other documentation is required.
- Am I eligible for a particular program? Check that program's intake requirements.
A yes to the first question does not settle the other two. Separating them helps avoid an unnecessary delay or an unexpected bill.
Booking at a private clinic
For ordinary private-clinic booking, you can contact the clinic or use its online calendar to request an initial assessment. Vancouver physiotherapist Brent Stevenson explains this direct-access distinction in Envision Physiotherapy's referral guidance.
If you already have a referral, discharge instructions or relevant reports, ask the clinic what to bring. Having paperwork can help the clinic prepare; it does not mean everyone needs the same documents before making an appointment.

Check reimbursement before your visit
Your benefits booklet or insurer can tell you what applies to your particular plan. Ask:
- Does this plan require a doctor's referral for physiotherapy reimbursement?
- If so, when must it be dated, and how long is it valid?
- What practitioner credentials and receipt details are required?
- What limits, deductibles or remaining balances apply?
Keep the answer or reference number with your benefits information. If the clinic offers direct billing, check how it works in our direct-billing guide. Your plan's referral requirements still apply.

Hospital services and funded claims have separate rules
Do not apply private-clinic booking advice to every hospital service. For example, the Providence outpatient service listed by HealthLink BC requires a qualifying referral and has a waitlist. Check the service you intend to use.
If your visit relates to an ICBC or WorkSafeBC claim, tell the clinic before booking. Ask which appointment type to select, what claim information to provide and whether any approval is needed for your situation.

A message you can send to reception
I'm looking to book my first physiotherapy appointment at your clinic. Can I book an initial assessment directly? I plan to use [my extended health plan / my claim / private payment]. Which appointment should I choose, and what documents or payment details should I bring?
Once the referral and payment questions are clear, choose the right visit type. Our initial assessment and follow-up guide explains common booking labels.
